Privacy Policy

1. Overview

QuoteStak LLC takes your privacy seriously. This policy describes what data we collect, how we use it, and how we protect it. This Privacy Policy applies to all users of QuoteStak's website and services and is designed to comply with the California Consumer Privacy Act and applicable federal privacy law.

2. Data we collect

We collect the information you provide during the intake process including your name, email address, phone number, and property address. We collect project details including trade category, scope of work, photos you upload, and any contractor quote you upload for review. We collect payment information processed securely through Stripe. We do not store full credit card numbers. We also collect technical information including IP addresses, device type, and browser information for security and service improvement purposes. We collect records of contractor communications conducted on your behalf through our platform. We collect referral codes and referral relationship data when you participate in the QuoteStak referral program.

3. How we use your data

We use your data to generate cost estimates, contact contractors on your behalf, and deliver the quotes we gather. We use your email to send project updates, quote notifications, and the introduction email. If you opted in during signup we may send you project tips and updates from QuoteStak. You may unsubscribe at any time. Project information is processed by automated systems to generate cost estimates, assist with project scoping, and coordinate contractor quotes. This processing is conducted by Anthropic pursuant to their privacy policy at anthropic.com/privacy. The information sent to Anthropic may include your project descriptions, uploaded photos, the entire contents of any quote document you upload for review, property address, name, budget, and the content of communications with contractors conducted on your behalf.

4. Contractor contact

QuoteStak contacts local contractors on behalf of paying customers. When a customer purchases a QuoteStak service their first name and project address are shared with contractors for the sole purpose of requesting project bids. Customer contact information including email and phone number is not shared with contractors until the customer selects a winning bid and authorizes an introduction. Contractor phone numbers and email addresses are sourced from publicly available business listings including Google Business profiles. Records of SMS communications sent to and received from contractors on your behalf are stored and made available to you through the Full Transparency feature in your dashboard. QuoteStak does not sell or share contractor contact information with any third party.

5. Photos and uploaded quotes

Photos you upload are stored in Cloudflare R2 object storage and are shown to contractors who are actively bidding on your project. They are served only through an authenticated request: each time a photo is requested, QuoteStak checks that the person asking is signed in as the owner of the project the photo belongs to, or is a contractor with an active invitation to that project. Anyone else is refused, and there is no public link that bypasses this check. A contractor loses access when their invitation to your project ends. Photos are kept while your account is active and are not removed on a schedule. They are deleted when you request deletion of your account, which QuoteStak carries out by hand and completes within 30 days. Photos are not shared with any third party beyond contractors invited to your project and the providers listed in section 7.

A quote you upload for review is handled differently and is not stored. The file is sent to Anthropic to read the line items and amounts from it, and is discarded once that reading is finished. QuoteStak keeps no copy of the file and no link to one. What we keep is the information read from it: the line items and amounts, the total, the trade, the type of file, the contractor's business name if you gave it, and the zip code if you gave it. A quote you upload is never shared with contractors.

A quote you upload was written by a contractor and may contain that contractor's business details and pricing. QuoteStak keeps that information as part of your project record and shows it back to you. It is not published, resold, or shown to other contractors. The contractor who issued the quote is not a party to this policy.

6. Data retention

We retain your project data for as long as your account is active. Quote documents you upload for review are an exception and are not retained at all, as described in section 5. Payment records are retained for 7 years for tax and legal compliance purposes. Project and communication records are retained for 3 years after project completion unless earlier deletion is requested. You may request deletion of your account and all associated data at any time from your account settings. We will fulfill deletion requests within 30 days. Some data may be retained for legal and financial compliance purposes including Stripe transaction records.

7. Third party services

QuoteStak uses the following third party services to operate the platform: Clerk for authentication and user management, Stripe for payment processing, Twilio for SMS delivery, SendGrid for email delivery, Cloudflare R2 for photo storage, Vercel for application hosting, Railway for database hosting, Google Places API for contractor discovery, Anthropic for automated estimate generation, project scoping, and reading the quote documents you upload, Sentry for error monitoring, and Upstash for rate-limiting infrastructure. Quote documents you upload are transmitted to Anthropic in full. As configured, Sentry does not receive your user identity or session recordings, and our Upstash rate-limiting infrastructure does not store personal data. Each of these services processes data according to their own privacy policies. Links to each provider's privacy policy are available on their respective websites.

8. Your rights

Under applicable privacy law you have the right to access, correct, and delete your personal data. California residents have the right to know what personal information is collected about them, know whether their personal information is sold or disclosed and to whom, opt out of the sale of personal information (QuoteStak does not sell personal information), request deletion of personal information, and not be discriminated against for exercising these rights. You may exercise these rights from your account settings or by contacting us at support@quotestak.com.

9. Data security

QuoteStak protects your personal information with encrypted data transmission, authentication through Clerk, and access checks on stored files so that a photo can only be retrieved by someone authorised to see it. No method of transmission over the internet is 100% secure. In the event of a data breach affecting your personal information QuoteStak will notify you as required by applicable law.

10. Cookies

QuoteStak uses cookies and similar technologies for authentication and session management through Clerk. You may disable cookies in your browser settings but this may affect your ability to log in and use the service.

11. Children's privacy

QuoteStak does not knowingly collect personal information from children under the age of 13. QuoteStak is intended for use by property owners and adults only. If you believe a child has provided personal information to QuoteStak please contact us immediately at support@quotestak.com.

12. Do not track

QuoteStak does not currently respond to Do Not Track signals from web browsers.
